Invoice Intake Automation

An extraction agent that reads vendor invoices, matches them to purchase orders, and writes the record straight into the ERP — flagging mismatches instead of guessing.

THE CHALLENGE

A finance team keying in the same numbers, twice a day, every day

This finance team was manually keying roughly 400 vendor invoices a month into their ERP — pulled from PDFs and email attachments, cross-checked against purchase orders by hand, then entered line by line. It was slow, error-prone, and the kind of work that scales badly the moment the business grows.

Nobody wanted a black box, either. Any automation had to be trustworthy enough that finance would actually rely on it — which meant every automated entry needed to be traceable back to the document it came from.

At A Glance

  • 70% Less Manual Entry

Manual keying time cut by roughly 70% once the agent took the first pass on every invoice.

  • Nothing Silent

Every automated entry is logged against its source document — no black-box decisions.

  • Mismatches Get Flagged

The agent flags anything that doesn't cleanly match a purchase order instead of guessing.

WHAT WE BUILT

Inside the Invoice Intake Automation build

Document Extraction

Reads invoices from PDFs and email attachments regardless of vendor layout or format.

Purchase Order Matching

Cross-references each invoice against open purchase orders before anything gets written.

ERP Write-Back

Writes matched, verified invoice data directly into the ERP in the format finance already uses.

Exception Flagging

Anything that doesn't match cleanly is routed to a person instead of being force-fit into a record.

Full Audit Trail

Every automated entry links back to the original document it was extracted from.

HOW WE GOT THERE

The approach behind the build

01

Map the Workflow

We walked through exactly how invoices arrived, got checked, and got entered — before writing a line of code.

02

Scope the First Version

Agreed on the invoice formats and match rules the first release needed to handle well.

03

Build & Integrate

Wired the extraction agent directly into the existing ERP, not a side tool finance had to check separately.

04

Monitor & Tune

Watched real invoices flow through it and tightened the matching rules against edge cases as they showed up.

THE RESULT

What changed once it shipped

0%
Less manual entry time

Time finance spent keying invoices dropped once the agent took the first pass.

0+
Invoices processed monthly

Volume the extraction pipeline now handles routinely.

0%
Entries logged & traceable

Every automated record links back to its source document.
